Record owners, pay settlements and open the portal
Keep landlord details, record their share each month, and give them read-only access.
The Landlords screen keeps the owner behind each of your listings, including bank details, because settlements are paid to them, not to the organisation. Their monthly share is calculated from money actually collected, recorded from the Reports screen, then marked as paid back on this screen.
Steps
- Press Add landlord and fill in the name, phone, email, identity card number, address and bank details.
- Choose that owner in the Arrangement section of each relevant listing.
- Open Reports and find Landlord payable this month. It shows the owner's share and the share you keep for each listing.
- Press Record settlement. The amount is locked at that moment, so later rate changes or late rent do not rewrite a figure that has already been agreed.
- Go back to Landlords, the Settlements section, and press mark as paid. Fill in the transfer reference and notes.
- For portal access, make sure the owner has an email, then press Invite to portal. They see properties, payouts and agreements only.
What it does not do
The system does not transfer money to owners. A settlement record is only a record; you make the transfer. Self-owned listings are not listed because nobody is paid. There is only one settlement per listing per month. An owner cannot be deleted while any settlement refers to them, and the owner portal is read-only, so they cannot edit anything.
