Set up checklists for tasks
Set fixed steps for Cleaning and Maintenance work so every new task starts complete.
The Templates tab on the Operations screen keeps one default checklist for Cleaning and another for Maintenance. Each step can be marked required or optional. When a new task of that type is created, all the steps are copied in so the team does not have to remember what needs doing.
Steps
- Open Operations and press the Templates tab. This tab is only open to organisation admins.
- You will see two cards: Cleaning checklist and Maintenance checklist.
- Type a step in the box under a card, then press Add or the Enter key. The new step goes at the end of the list.
- Press the word Required or Optional on the left of a step to switch it. Required steps must be ticked before a task can be closed.
- Press Remove to delete a step that is no longer relevant, then confirm.
Effect on existing tasks
Tasks already created hold their own copy of the checklist. Adding or removing steps in the template only affects tasks created after that.
What it does not do
Each type has only one default checklist per organisation, so you cannot keep different lists for each unit or each building. Steps cannot be reordered after they are added, their text cannot be edited, and they cannot be split into sections. There is no place for photo proof, estimated time or cost on a step. Staff and vendors do not see this tab at all, and there are no templates for work types other than Cleaning and Maintenance.
