How do you manage rented rooms: rent, deposits and utility bills?
Manage rented rooms with one record per tenant: a signed and stamped agreement, the rental deposit and utility deposit tracked separately, a monthly rent schedule with a receipt for every payment, and a utility split agreed from day one. When a tenant moves out, work out the deposit balance and give them a written statement.
What records should you keep for every room tenant?
Keep these from the day the tenant moves in:
- Name, phone number and a copy of their ID, stored securely because it is personal data.
- The signed and stamped tenancy agreement.
- Monthly rent, due date and the agreed payment method.
- The rental deposit and utility deposit, recorded separately.
- How electricity, water and internet bills are split.
- Meter readings on move-in day, if the room has its own meter.
How do you collect monthly rent without chasing every tenant?
Set one due date for all tenants, and send a polite reminder a few days before it. Issue a receipt for every payment, including bank transfers, so the tenant has proof and you have an income record.
A rent ledger showing what was billed, collected and overdue for each tenant lets you see arrears at a glance.
How do you track rental and utility deposits?
A deposit is the tenant's money until it is returned, not your income. Record it apart from rent, with the date received and how it was paid.
Our rental deposit guide covers the usual deductions and how to return a deposit.
How do you split utility bills between room tenants?
Three common methods, and the one you choose belongs in the agreement:
- Equally between every tenant who stayed through the billing period.
- By the number of nights each tenant stayed in the billing period.
- By separate meter readings, if each room has its own sub-meter.
Does a room tenancy agreement need stamping?
Yes. The Finance Act 2024 removed the stamp duty exemption for low annual rents from 1 January 2025, and every instrument now carries a minimum duty of RM10 [1]. Our stamp duty guide explains self-stamping on MyTax.
What should you do when a room tenant moves out?
Give written notice with the move-out date, inspect the room with the tenant, take the final meter reading, then work out the deposit balance. Give a statement listing the deposit held, each deduction and the amount returned.
Frequently asked questions
Yes. A bank statement shows money in, but not the room or rent month. A receipt ties the payment to the right month and room.
